What is an AI business agent?

By Bryno · Published · Updated

Short answer

An AI business agent is software that uses a large language model to handle tasks for a business, such as answering customer questions from approved information, collecting the details of an inquiry, or passing a request to a staff member. Unlike a scripted chatbot, it can decide which step or tool to use next, but only within limits the business sets. In our experience, most business agents today are tightly constrained, and that is usually a good thing.

What does "AI agent" actually mean?

Established

There is no single official definition of an AI agent. OpenAI's guide for builders describes agents as systems that independently accomplish tasks on a user's behalf, and says an agent is built from three parts: a model, tools, and instructions. [1]

Anthropic notes that some of its customers use the word for fully autonomous systems that run independently for long periods. Anthropic itself draws a line between workflows, where a language model follows predefined code paths, and agents, where the model directs its own process and decides which tools to use. [2]

For a small business, a practical working definition is enough: an AI business agent is an AI system that talks with customers or staff on the business's behalf and can take at least some steps toward finishing a task, inside rules the owner has approved.

How is an agent different from a chatbot?

Established

The short answer is that a chatbot mainly converses, while an agent can also decide on and carry out steps. OpenAI's guide says applications that use a language model without letting it control how a workflow runs, such as simple chatbots, are not agents. [1]

In practice the line is blurry; as we see it, many products called "agents" behave like well-grounded chatbots with a contact form attached. The AI agent vs website chatbot comparison covers the differences in detail, including what questions to ask a vendor.

What can an AI business agent do for a small business?

Recommended practice

Most useful business agents do a handful of ordinary jobs well rather than many jobs loosely. Typical tasks include:

  • Answering common questions about hours, location, services and policies from facts the owner has approved.
  • Collecting the details of an inquiry (what the customer needs, where, and when) so staff can follow up.
  • Recording appointment requests for a person to confirm, rather than booking on its own.
  • Recognizing when a question is outside its scope and pointing the customer to a human.

Anthropic describes customer support as a natural fit for agents, because support conversations follow a conversational flow while needing outside information and actions such as issuing refunds or updating tickets. [2] A small business can start with the information half of that and add actions later, if at all.

When an agent does need outside information or actions, it reaches them through connections to other software. The Model Context Protocol (MCP) is one open standard for connecting AI applications to data sources, tools and workflows. [4]

What are the parts of a business agent?

Recommended practice

OpenAI's guide breaks an agent into a model, tools, and instructions with guardrails. [1] For a small business it helps to add two more parts: the approved knowledge the agent answers from, and the person it hands off to.

The parts of an AI business agent, with small-business examples
PartWhat it isExample for a dental office
ModelThe language model that reads questions and writes answersThe AI model the vendor or platform provides
KnowledgeApproved facts the agent may answer fromHours, insurance accepted, new-patient process
Instructions and guardrailsRules for what it may and may not say or doNever give clinical advice; never confirm an appointment
ToolsConnections that let it look things up or take a stepSending an inquiry to the front desk inbox
Human handoffThe person who takes over when the agent can't helpThe office manager, by phone or email

Why are most business agents deliberately limited?

Established

More independence brings more risk. Anthropic warns that the autonomy of agents means higher costs and the potential for compounding errors, and recommends finding the simplest solution possible and adding complexity only when needed. [2]

OpenAI's guide recommends that sensitive, irreversible or high-stakes actions, such as canceling orders, authorizing large refunds or making payments, trigger human oversight until there is confidence in the agent's reliability. [1]

Language models can also state things that are not true. Anthropic's documentation recommends explicitly allowing the model to say it doesn't know and limiting it to the documents it was given, while noting that these techniques reduce errors without eliminating them. [3] For a business, that means an agent should answer from a short list of approved facts and say plainly when a question goes beyond them.

What does an AI business agent need from the owner?

Recommended practice

An AI business agent is not a set-and-forget product. It needs four things from the owner, and the quality of each one shows up directly in what customers hear:

  • A short list of accurate, current business facts to answer from.
  • Written rules about what the agent may say and do, and what it must hand to a person.
  • A named person who receives handoffs and replies in a reasonable time.
  • A regular review, so the facts change when the business changes.

None of this requires technical skill. The practical steps, including how to test an agent before customers see it, are in how to create an AI agent for your business.

Is an AI agent the same as a profile?

Recommended practice

No. A profile or card is the information about you or your business; an agent is software that uses that information to talk with people. A good agent depends on accurate information, which is why the agent on a Bryno card starts from what the card already shows.

Bryno works this way: the optional AI agent on any Bryno card answers only from the card's details and what its owner added or approved, and is instructed to say when it doesn't know.

Will AI agents from different companies work together?

Emerging practice

Open protocols for agents to communicate with each other now exist, but everyday use between customers' assistants and small businesses' agents is still emerging. The article Can AI agents talk to other AI agents? separates what is demonstrated today from what is still a possibility.

Practical next steps

  1. List the ten questions customers ask your business most often, with the correct answer to each.
  2. Decide which one or two tasks you would want an agent to handle first, and which tasks must always go to a person.
  3. Write down what an assistant must never do for your business, such as quoting custom prices or confirming bookings.
  4. Name the person who will receive handoffs and how quickly they can realistically respond.
  5. Ask any vendor what information their agent answers from and what happens when it doesn't know.
