How can AI agents generate business leads?

By Bryno · Published · Updated

Short answer

An AI agent can help turn conversations into leads by answering a visitor's questions at any hour, collecting the details of an inquiry, asking a few qualifying questions, recording appointment requests, and passing everything to a person who follows up. It cannot guarantee more customers. It works best when it answers only from approved facts, admits when it doesn't know, and never promises prices or availability it can't confirm.

Where does an agent fit in the lead process?

Recommended practice

An agent doesn't create demand. It helps you avoid losing people who have already found you, for example someone with a question outside opening hours who would otherwise leave. The useful division of labor looks like this:

Who does what when an AI agent helps with leads
StageWhat the agent doesWhat a person does
InquiryAnswers questions from approved facts and collects contact detailsSets the facts and reviews inquiries
QualificationAsks a few agreed questions, such as location and type of jobDecides which inquiries to pursue
Appointment requestRecords preferred times as a requestConfirms or offers another time
HandoffPasses a complete summary and tells the customer what happens nextFollows up within the time promised
Quote or saleNothing beyond published informationPrices the job and closes the sale

Anthropic describes customer support as a good fit for agents because the conversations follow a natural flow while needing outside information and actions. [2] Inquiry handling has the same shape, which is why it is a sensible first job for a business agent.

How should an agent handle a new inquiry?

Recommended practice

Answer the customer's question first, then collect only what your team needs to follow up: name, preferred contact method, what they need, where, and roughly when. Long intake forms delivered through chat feel like interrogation and lose people.

Be careful with personal information. OpenAI's guide lists a filter that prevents unnecessary exposure of personally identifiable information among the guardrails worth layering into an agent. [1] Don't let the agent ask for payment details, identification numbers or health details in chat; route those to a person through your normal channels.

How can an agent qualify leads without turning good customers away?

Recommended practice

Qualification means checking fit, not judging people. Write the rules yourself, keep them few, and let the agent apply them. Common questions are whether the job is in your service area, whether it is a service you offer, and how soon it is needed.

OpenAI's guide recommends instructions that anticipate edge cases, such as a customer who gives incomplete information or asks something unexpected. [1] For lead qualification, the safest edge-case rule is simple: when the agent is unsure whether someone fits, it passes the inquiry to a person rather than turning them away.

Can an agent book appointments?

Recommended practice

It can take appointment requests safely. Booking is different: unless the agent is connected to your real calendar and its availability is accurate, it should describe the result as a request and tell the customer that someone will confirm.

OpenAI's guide recommends that sensitive, irreversible or high-stakes actions trigger human oversight until there is confidence in the agent's reliability. [1] Confirming a time your team then has to honor is a commitment, so many businesses keep a person in that loop. See how to create an AI agent for your business for setting approval rules.

What should an agent never promise?

Established

A lead that starts with a wrong promise usually ends badly. Language models can generate statements that are factually incorrect, and Anthropic's documentation recommends explicitly allowing the model to say it doesn't know and instructing it to use only the information provided. [3] The same documentation notes that these techniques reduce errors without eliminating them and advises validating critical information. [3]

In practice, write these limits into the agent's rules:

  • No prices beyond your published list, and no discounts.
  • No confirmed dates, arrival times or stock availability unless the agent reads them from a live, accurate system.
  • No guarantees about results, timelines or outcomes.
  • No claims about licenses, insurance or credentials you haven't documented.
  • A plain answer when it doesn't know, such as offering to pass the question to the team.

How should the handoff to a person work?

Recommended practice

OpenAI's guide says a human intervention mechanism lets an agent transfer control gracefully when it can't complete a task, which in customer service means escalating to a human agent. It suggests escalating when the agent exceeds a set number of failed attempts, such as repeatedly failing to understand what the customer wants. [1]

A good handoff gives your team everything in one message: the customer's request in their own words, contact details, answers to the qualifying questions, and anything the agent couldn't answer. It also tells the customer, honestly, who will reply and through which channel.

How do you know whether it's working?

Recommended practice

Measure your own results rather than relying on published averages. Anthropic notes that support agents suit tasks where success can be clearly measured through user-defined resolutions. [2] For leads, simple counts work: inquiries received through the agent, how many arrived with complete details, how many became jobs, and how many wrong answers you found on review.

Compare those numbers with how inquiries arrived before, over the same length of time. Results vary by business, season and how customers find you, so treat any vendor's promise of a specific return with caution. How customers reach you in the first place is covered in how AI recommendations work.

Where does Bryno fit?

Bryno's optional AI plan gives any card its own AI agent, which answers visitors from the card's details and what the owner approved, and is instructed to point people to the card's contact options when it doesn't know. Bryno doesn't store chat conversations.

Bryno's AI agent answers questions; it doesn't look for opportunities or qualify prospects on its own, and nothing here should be read as a promise of leads.

Practical next steps

  1. Write down the four or five details your team needs to follow up an inquiry, and nothing more.
  2. Agree two or three qualification questions, and a rule that unsure cases go to a person.
  3. Decide who receives handoffs and what response time you can honestly promise.
  4. Record how many inquiries you receive now, so you have a baseline to compare against.
  5. Draft the agent's never-promise list for prices, availability and guarantees.
